Poplar Advice Limited ("Poplar Advice", "we", "us", "our") is the data controller for personal data processed through poplar-advice.com. Personal data we collect

We collect personal data directly from you, automatically as you use our website, and from our payment processor. This includes:

  • Enquiry and contact data — name, email address, phone number, and the contents of any message you send us through a contact form or by email.
  • Client and engagement data — details you provide when we take you on as a client, such as company name, billing address, and correspondence relating to our advisory services.
  • Payment data — billing name and address, and transaction details. Card numbers and other sensitive payment credentials are entered directly into our payment processor, Stripe, and are not stored on our own servers.
  • Technical and usage data — IP address, browser type and version, device information, referring pages, and pages visited, collected automatically via cookies and similar technologies (see Section 4).

Who we share your data with

We do not sell personal data. We share personal data only with:

  • Stripe (Stripe Payments Europe, Limited, and its group companies), to process payments on our behalf;
  • IT, hosting, and analytics providers who support the operation of our website, acting as processors under our instructions;
  • professional advisers, such as accountants or lawyers, where necessary to obtain advice or comply with our obligations;
  • regulators, courts, or law enforcement, where we are required to do so by law.

International transfers

Some of our service providers, including Stripe, may process personal data outside the United Kingdom. Where this occurs, we ensure an appropriate safeguard is in place, such as the UK International Data Transfer Addendum or the EU Standard Contractual Clauses as incorporated for UK use, so that your data continues to receive a comparable level of protection.

How long we keep your data

We retain personal data only for as long as necessary for the purposes it was collected. Enquiry data is generally retained for up to 24 months if no client relationship follows. Client and payment records are retained for at least six years to meet our accounting and tax obligations under UK law. Data no longer needed is securely deleted or anonymised.

Your rights

Under UK GDPR, you have the right to:

  • request access to the personal data we hold about you;
  • request correction of inaccurate or incomplete data;
  • request erasure of your data, where applicable;
  • request that we restrict or object to certain processing;
  • request a portable copy of data you provided to us;
  • withdraw consent at any time, where processing is based on consent.

How we protect your data
